Guidely privacy policy

Updated 21 October 2026

This policy explains how Guidely handles information for its mobile guide app and related team-management services. Guidely helps guiding teams manage tours, tasks, assignments and schedules. Accounts are by invitation from a team manager. For privacy questions, contact razvan.petre@gmail.com.

Information we process

How information is used

We use information to authenticate accounts, show relevant work, check assignment eligibility, maintain schedules, deliver requested updates, collect guest feedback, investigate errors and protect the service. Managers can see staff and operational information needed for their role. The guide app does not request precise location, contacts, photos or health data and does not include advertising.

Providers and access

Infrastructure and authentication providers process information to deliver Guidely, including Supabase, our hosting infrastructure, Google Firebase Cloud Messaging for Android push, and Apple Push Notification service for iOS push. Email providers handle authentication and operational emails. Information may be processed outside your country through these providers. We do not sell personal information or use it for targeted advertising.

The optional Manager AI Advisor uses OpenAI to answer questions about Guidely operations. Questions and retrieved operational information may be processed by OpenAI when a manager uses it. This Advisor is not part of the guide mobile app. Access is limited to authenticated managers; the Advisor is designed to read operational information without changing assignments.

Choices and security

You can enable or disable Guidely push notifications and manage permission in your device settings. You can revoke a private calendar link in Guidely. Revocation stops future access through that link; remove the subscription in your calendar app to clear its downloaded copies. Anyone with a private calendar link can read its schedule, so share it only with a calendar account you trust.

Connections to Guidely services use HTTPS. Access controls limit work and management actions according to authenticated identity, role and profile. No service can guarantee absolute security.

Retention and deletion

Account and profile information is held while an account is used. Work and audit information is retained to operate schedules, preserve assignment history and handle security or operational issues. The calendar feed includes completed work for 90 days; this feed window does not mean the underlying database records are automatically deleted after 90 days.

You can delete your account yourself at any time in the Guidely app: Account, then Delete my account. This immediately deletes your sign-in, name, email address, device registrations, notifications and calendar feed. Upcoming assignments return to the open schedule. Past tours and tasks stay in the schedule without your name, because the team needs them for its records.

You may also request access, correction or deletion of your account and associated information by contacting support. We verify ownership before making changes. Some operational or audit information may need to be retained for legitimate security, business-record or legal reasons; if this applies to a deletion request, we explain the retained information and reason. Removing an app from a device does not delete the account.

Request account deletion

Delete your account in the app (Account, then Delete my account), or visit Guidely account deletion if you can no longer sign in. Do not send your password or authentication codes.

Audience and updates

Guidely is a work tool for the guiding team, not a service directed at children. We may update this policy as the service changes. The date at the top identifies the latest version.
